General Web Site Privacy Notice

The West Virginia Mutual Insurance Company (Mutual) has adopted this policy effective December 8, 2008.

The Mutual is committed to protecting your privacy. We want you to visit this Site knowing how your personal and non-personal information may be used.

For each visitor to this Site, we track non-personal information such as domain name, IP address and browser type through website reporting tools. This information is used internally to monitor aggregate activity and trends, and to improve the content of this Site.

We offer certain services on this Site that require personal information such as your name and address. It is your choice whether to input this personal information. We do not collect any personal information automatically. Certain areas of this Site restrict access and require users to sign in using a username and password (i.e. agents). The login software uses "cookie"-based security and stores small amounts of data on your computer to facilitate access to these areas of this Site on future visits. Cookie information is not shared by the Mutual with any other person or entity.

If you choose to provide personal information we may archive that information in a database in order to follow-up with new and improved offerings and additional information. The information is kept electronically, but is internal to the Mutual and is not maintained on this Site. We do not disclose information to third parties, other than to our agents, except as necessary to conduct business or as required by law.

These practices apply to this Site only. We are not responsible for the privacy practices or the content of any other websites on the Internet that are hyperlinked to or from the Mutual’s site. We encourage you to review the privacy statements on those websites.

Information Collection, Use and Disclosure

Automatically Collected Information

The Mutual collects and temporarily stores certain technical information about your visit to our web site for use in site management and for security purposes. This information includes:

  • The Internet domain from which you access our web site;
  • The IP address (a unique number for each computer connected to the Internet) from which you access our Web site;
  • The type of browser (e.g. Netscape, Internet Explorer, Mozilla) used to access our site;
  • The date and time you access our site;
  • Direct, organic, referral, or indirect visits (where you came from (i.e. search engine, and how it was searched along with keywords));
  • Physical Location along with Domain (if domain is applicable, most of the time this will just be physical geographical location);

The above information is only used to help the Mutual make our site more useful for you. With this data we learn about the number of visitors to our site and the areas of the web site the visitors use most frequently. Except for authorized law enforcement investigations, no attempts are made to identify individual users based upon automatically collected information.

Voluntarily Submitted Information

At various areas of our web site, there are opportunities for visitors/insureds to voluntarily submit information to the Mutual. Visitors/insureds can submit information to the Mutual and we may respond to valid inquiries via email. All voluntarily submitted information is protected in accordance with this Notice. Voluntarily submitting information via email or using our online forms constitutes your consent to our use of the information for the stated purpose and to our disclosure of the information in accordance with this notice. If you do not choose to utilize online forms, we are happy to send copies of written forms, if you provide us with your name and mailing address.

Disclosure of Personal Data to Third Parties

The Mutual may disclose any data collected from this web site to third parties for the following reasons:

  • We will provide full access to our web site and collected data for authorized state and federal law enforcement investigations.
  • We will provide full access to state and federal regulators auditing our files to ensure the Mutual is complying with state and federal insurance and other business-related laws.
  • Attorneys may be asked to provide comments on questions we receive via email or through web site and/or to provide defense for a claims matter.
  • Auditors, reinsurers, and actuaries may review personal, collected data during their annual review of our accounts.
  • If an insured utilizes the services of an agent, that insurance agent will be provided access only to that insured’s personal data, when necessary.

The Mutual agrees not to use the personal data collected via our web site for marketing products and/or services with third parties.


The Mutual does place Internet cookies on visitors’ hard drives. A cookie is a piece of data stored on the user’s hard drive, containing information about the user. Visitors may decline the Internet cookie by using the appropriate feature of their Internet browser software, if available. However, you may not be able to access all of the website content if you decline the Mutual’s cookie.

Right to Change Privacy Policy

The Mutual reserves the right to change this policy at any time without notice. If at some point in the future we make changes, the new policy will be posted to this site and will go into effect immediately.
